A gala can do more than raise funds—it  can open doors to entirely new relationships. Often, guests attend as a friend of a sponsor and may know little about your mission. These moments present a golden opportunity: to turn a one-time attendee into a lifelong supporter. At OnPointe, we know that what happens after the event is just as important as what happens during it. Here’s a strategic approach to welcoming and engaging new guests so they feel connected and inspired to stay involved.


1. Send a Warm, Personalized Welcome Email

After the event, start with a personal welcome email. Include a link to a compelling story that highlights how their gift is already making an impact. Thank them sincerely for attending and show them right away that they’re part of something meaningful.


2. Invite Them to See Their Impact in Action

Offer an invitation to visit your facility for a private tour. This behind-the-scenes look allows them to witness firsthand the difference your work makes and feel the impact of community support.


3. Share Key Organizational Information

Provide links to your annual Impact Report and offer to add them to the monthly newsletter. These resources help new supporters understand your mission, transparency, and the tangible outcomes you’re delivering. It builds trust and credibility early on.


4. Extend Invitations to Upcoming Events

If you have other upcoming gatherings, such as your golf outing, open house, or a casual appreciation event, invite new donors to attend. These smaller, more personal experiences are a great way to deepen their connection without the pressure of a large gala setting. For example, consider hosting a relaxed coffee with leadership, offering a behind-the-scenes tour of your facility, or inviting them to a student or client showcase that highlights the impact of your mission. Not every invitation should come with a fundraising ask; sometimes the most meaningful gesture is simply welcoming them into your community, showing gratitude, and giving them space to build relationships.


5. Show Them Ways to Get Involved

Highlight other ways they can support your mission, such as volunteering or participating in specific programs. Offering clear pathways for deeper involvement can turn passive attendees into passionate advocates.


6. Provide a Personal Point of Contact

Finally, share your direct contact information to reach out with any questions or ideas. Provide any other contacts that may be applicable too. Introductions to others in your organization, it helps them feel truly welcomed into your community.


While dollars raised at your event are important, the deeper value lies in the relationships you nurture. When you welcome new donors with heart, show them their impact, and invite them into your story, you’re planting seeds for something far greater than a single gift.
